Start with a phone app if an approved phone can complete the task well. Consider a dedicated device when several people need the same tool, a fixed service point needs reliable access, or the job calls for a different screen, audio setup or device configuration. Test the complete setup before you buy.
A dedicated device can still be a phone or tablet. In this guide, dedicated means assigned to a defined work task. It does not mean that the hardware has a separate translation engine or produces better translations.
Start with who uses it
An existing phone is a sensible starting point for one employee who needs occasional language help. The employee already knows its controls. You can evaluate the app before you add another device to charge and maintain.
A shared team has different needs. Ask where the device stays, who signs in, who charges it and who can use it during the next shift. An employee's personal phone may be unavailable when that employee leaves. A company-owned phone assigned to reception can solve that problem without a special hardware purchase.
Write down the task in one sentence. For example: reception staff need to explain directions in the languages used by visitors. Keep payment details, identity documents and other sensitive work outside the test until your organization approves the setup.
Compare the same task on each option
Use the same language pairs and short sample conversations. Ask a competent speaker to check the meaning. Include a name, a number and an unclear sentence. Record where someone must repeat, type or correct the input.
Check the screen from both sides of the desk. Test speech input with normal background noise. Check spoken output at a useful volume. Note how staff recover when they select the wrong language. These checks can reveal a poor fit that a specification sheet will miss.
Do not assume a separate device translates more accurately. Results depend on the selected software, supported language, input and working conditions. A larger screen may help people read, but it does not prove that the translation is correct.
Check access and session controls
Decide which apps users need and what they can open. For a shared device, test the start screen, account access and the steps used to end a session. Check what the next person can see. A branded screen alone does not answer these questions.
Android documents a managed lock task mode that can limit use to approved apps. Its setup requires device-management controls. Android also distinguishes this from screen pinning, which a user can exit. Ask which method the proposed build uses and test it on the exact device. This Android capability is not proof that a particular Vavus configuration includes it.

Define what must work without a connection
List each required function separately: typed translation, speech input, spoken output and access to reference material. Then ask which functions and languages are available without internet on the proposed setup.
Test those functions after setup, with the relevant network connections disabled. Also restart the device and repeat the checks. Record anything that needs activation, a download or a server connection. A downloaded language file should not be treated as evidence that every voice or conversation feature will work offline.
Vavus scopes processing on the device, on customer servers or in the cloud. Availability without a connection depends on the agreed functions and installation. A service on your local network still needs that network, even when it does not need the public internet.
Compare the full cost and support plan
Compare hardware, configuration, software, connectivity, accessories, updates and support over the same period. Include staff setup time and a replacement plan. Ask who fixes an app problem and who handles a damaged device.
An existing phone can avoid a new hardware purchase. A dedicated device can make shared access easier to organize. Neither option guarantees a lower total cost. Use the written proposal and your own test results.
Choose the smallest setup that passes
Keep the existing phone if it meets the task, access and support requirements. Choose a configured device when the test identifies a clear need. Expand only after staff can complete the work and recover from common problems.
